Administrator

This is a full-time postition.

This role is extremely important to the success of our operation. The Administrator is a key hub position in the organization, where all office, marketing, and design activities connect. The Administrator connects all departments. The position reports directly to the Integrator (Operations Manager) and supports the company by managing all marketing and office administrative functions. There is a wide range of responsibilities and as a result this person must embody our core values, be intellectually sharp and be multi-talented.

Responsibilities

  • Develop and maintain a Marketing strategy with calendar.
  • Work with marketing team to understand marketing plans, execute ideas, publish content across all social media channels and improve/managing our presence.
  • Compose online content and or proof and approve all online content presented by the Marketing firm.
  • Coordinate communications, maintain mailing list and support projects.
  • Marketing coordinator will provide support for social media, print, and digital marketing initiatives.
  • Organize and send Direct Mail initiatives.
  • Ensure marketing and public relations programs are organized and meet the goals of JM Construction, Inc.
  • Maintain a mailing list, including digital and direct mail.
  • Maintain direct mail program.
  • Order and facilitate delivery of gifts and cards.
  • Plan public relation events
  • Schedule and administer photographs of projects and events.
  • Create and administer Award entries.
  • Administer Google reviews and Guild Quality surveys.
  • Work directly with and meet at least monthly with outsourced Marketing firm.
  • Compile marketing data for all reporting requirements.
  • Ensure the office is organized and runs smoothly.
  • Set up new clients and accompanying data in Builder Trend
  • Develops and implements office systems and procedures.
  • Manages and maintains computer network and ensures appropriate system backup.
  • Responsible for operation and maintenance of office equipment and inventory of office supplies
  • Organizes documents in Drop Box and Builder Trend
  • Update and renew all insurance policies.
  • Ensures all Builder Trend contact lists for staff, vendors, and trade partners are maintained and updated.
  • Read and route all incoming mail as needed.
  • Maintain and Update Company procedures and policies.
  • Confirm that all product selections and specifications have been made and are properly recorded.
  • Pick Up & Drop Off samples.
  • Create a Site Binder for use in the field.
  • Upload/Update of Builder Trend Documents and Selections
  • Assist with Material & Fixture Ordering and Procurement
  • Create Selection and Product Check-in Sheets-for each project.

  • Must have good working knowledge of computers, and Microsoft Office Suite software.
  • A working knowledge of Social Media platforms, Adobe Creative Suite

  • Willingness to work in an environment requiring flexibility and change.
  • A team player who contributes valuable ideas and feedback
  • Must maintain a professional image, demonstrate a high level of integrity and confidentiality.

  • Ability to travel locally, when required.
